This policy explains what information the school portal holds, who can see it, and what we do and do not do with it. It covers both the website and the Android app — they are the same system, so the same rules apply.

Who runs this portal

Gyan Valley Senior Secondary School, No.3 Borghuli (near Borghuli Sub Health Centre), Nagaon, Assam — 782120, India. The school is the owner of all information held in the portal.

What information the portal holds

Students: name, class and roll number, date of birth, admission details, attendance, examination marks, fee records and receipts, and documents the school issues (transfer, bonafide and character certificates).

Guardians:name, relationship to the student, mobile number and address. The mobile number is also the guardian's login.

Staff: name, role, mobile number, and records relating to employment and duties.

All of this is entered by school staff as part of running the school. Children do not create accounts and are not asked to submit information themselves.

Who can see it

Access depends on role, and is enforced by the system itself — not merely hidden in the screens.

A parent sees only their own children— their attendance, marks, fees and notices. A parent can never see another family's information.

Teachers see the students they teach. Office staff see the records needed for admissions, fees and certificates. The owner and principal see the whole school. Every money-related action and every reversal is recorded in an audit log with the name of the person who did it.

How the information is used

Only to run the school: admissions, attendance, examinations, fee collection and receipts, certificates, and messages to parents about their child or the school.

We do not show advertising, we do not sell or rent information to anyone, and we do not share it for marketing. There is no tracking of users across other apps or websites.

Companies that help us run it

The portal runs on services that store the data on the school's behalf and may not use it for their own purposes: hosting (Vercel) and the database and login system (Supabase).

Where online fee payment is offered, the payment is completed by a regulated payment provider. Card, UPI and bank details are entered on the provider's own secure page — they never pass through, and are never stored by, the school portal.

Notifications

If you allow notifications, the portal may send alerts about attendance, fees, results or school notices. You can turn them off at any time in your device settings, and the portal continues to work normally without them.

How it is protected

All connections are encrypted. Logins are individual — staff by email and password or mobile and PIN, parents by mobile and PIN. Permissions are checked in the database on every request, so a person cannot reach records outside their role even by altering the address in the browser.

Please keep your PIN private and do not share your login. Tell the office at once if you think someone else has used it.

How long it is kept

Student and financial records are school records and are kept for as long as the school is required to hold them, including after a student leaves. Receipts are never deleted — a payment entered in error is cancelled with a recorded reason, so the history stays complete and honest.

Changes to this policy

If this policy changes, the new version will appear on this page with a new date at the top.
